Charging rent per tenant or per room

When several people rent one space, you can quote the rent two ways. Both are fine, as long as you keep the numbers straight and track each tenant on their own.

Two ways to say the same rent

Imagine a space with fifteen tenants who each pay $2,000. You can say the rent is $2,000 per tenant, or you can say it is $30,000 for the whole space. They describe exactly the same money. Choose whichever way you naturally think about it, but always know both numbers.

Way to say itExampleSame total
Per tenant$2,000 each, 15 tenants$30,000
Per space$30,000 for the space, 15 tenants$30,000

Why track each tenant separately

Tenants in the same space rarely pay on the same day, move in on the same day or move out on the same day. If you only track the space as a whole, you cannot tell whether the missing $800 belongs to one person or is spread across three. Tracking each tenant on their own answers that straight away.

A simple example

Room 4 has four tenants who each pay $800 a month, so the space brings in $3,200. This month three have paid and one has not. At the space level it just looks like $2,400 collected. At the tenant level you can see exactly who is late, and you know that one slot is the problem.

If a fourth tenant leaves and nobody has replaced them yet, you also see a vacant slot, so you know the space is only three quarters full.

Doing it in a spreadsheet

  • Use one row per tenant, not one row per space.
  • Add a column for the space name so you can group the rows.
  • Use SUMIF to total the rent for each space, for example =SUMIF(B:B,"Room 4",D:D).
  • Keep a separate row for each empty slot so vacancies stay visible.

Our free rent tracker template is laid out this way already.

How wrentrack handles it

You tell wrentrack how many tenants rent a space independently, and it creates a slot for each one. Every slot has its own rent, status and thank-you message, and you always see the rent per tenant and the total for the space together. Read more about managing several rental properties.

Common questions

Should I charge rent per tenant or per room?

Both work. What matters is that each tenant knows what they owe and that you track each tenant's payments separately.

How do I track rent when several tenants share a space?

Give every tenant their own row or slot with their own amount and due date, then add them up by space.
